We don't start a business to spend all of our time buried in admin!
But as a sole trader or if you're running a small team, chances are that’s exactly where you’ve ended up. Between chasing payments, replying to emails, updating spreadsheets and trying to remember which client needs what by when, admin has this sneaky way of eating up far more of your week than you’d ever plan for.
If it feels like you’re always “on” but never quite catching up, you’re not imagining it. Here’s where that time is actually going — and what you can do about it.
Where The Hours Really Go
Email - Opening, reading, replying, sorting, flagging - the endless cycle, because a week later you'll re-read as you've forgotten what you've done and where you're up to. Most business owners underestimate this by hours!
Invoicing & Chasing Payments - Raising invoices is one thing. Chasing the ones that go unpaid — the awkward (and annoying) follow-up emails, checking your bank account, updating your records — is a whole separate job most people never budgeted time for.
Diary Management - Hands up if it takes several emails to actually just book in an appointment! Double-booked slots. Not blocking out time for the actual work (because your diary is full of admin), no time for personal appointments, or the kid's sports day!
Data Entry and Filing - Updating spreadsheets, filing documents, keeping records where you can actually find them again. Unglamorous, but it adds up — and it’s the first thing to slide when you’re busy.
Small, Quick Tasks - That actually aren't that quick, are they, because you end side tracked going back and forth with Bob trying to book in an appointment, your phone rings and half an hour down the line you forget where you're up to.
Add all this up and you can quickly see how it can amount to 10, 15, 20 hours a week, just on admin- time that isn't growing your business, seeing clients, or just as important, being able to spend time with the people you started your own business for in the first place.

Why This Keeps Happening
It’s rarely about being disorganised. Most sole traders I speak to are switched-on, capable people. The problem is that admin is reactive — it shows up constantly, in small pieces, and it always feels faster to just do the thing than to stop and build a system for it. The result is a business that runs on firefighting rather than on structure. And because none of it feels like “real work,” it’s easy to underestimate just how much time it’s quietly taking.
What Actually Helps
Small steps so as not to feel overwhelmed:
Batch your admin - Set two or three fixed slots a week for email, invoicing and file admin, rather than reacting to it all day. Even this alone can claw back hours.
Build simple templates - A standard invoice template, email responses for common questions, a checklist for onboarding a new client. Anything you do more than twice is worth templating.
Get honest about what only you can do - Client work and relationships need you. Chasing an unpaid invoice or formatting a proposal doesn’t.
That last point is usually the biggest shift. Once you separate “things only I can do” from “things that just need to get done,” it becomes much easier to see what could be handed off.
The Bits Most People Miss
The time isn't just lost - it's costing you in ways that don't show up on a spreadsheet. It's the school run you missed because you were finishing an invoice. The evening spent catching up on emails instead of switching off. A new potential client enquiry you didn't chase up because you simply ran out of time.
That's really what this is all about. Not just about getting admin "done", but getting back time and headspace to actually run and ENJOY the business you built.
